Cancellation Procedure

 

The courses within this training directory are available to you at cost of delivery only or for a minimal fee if you work within the private, voluntary or independent early years sector (no profit is made for Lincolnshire County Council). Therefore it is important that we get value for money and train as many of the children’s workforce as possible.  It is for this reason that we must ensure the training courses we provide, run to their maximum capacity. 

The issue of non-attendance has been an highlighted for many years, places on courses are being reserved but on a number of occasions individuals have not attended, not sent any apologies or have cancelled their place without sufficient notice to be able to offer it to an alternative delegate from the waiting list. 

If you are a Registered Childminder the responsibility is with you.  If you are from an organisation/setting then this does not apply to you individually but to your organisation/setting. 

All applications must be made by the Owner / Manager who has been provided with the log in information, please read your booking responsibilities prior to booking your training.

When delegates fail to attend courses that they have booked onto, it not only affects the course dynamics and funding viability, but will often mean that other practitioners have been denied a place although they were on a waiting list.

This year we have decided to take extra steps to try and eliminate this from happening quite as regularly.

  1. The Manager should email the system administrator (link on the contact us page of the booking system) within 48 hours of course commencement if you find that you cannot attend a course

Have you checked that an alternative member of staff doesn’t want to make the most of the booking you have already made? 

If they do you should contact the course co-ordinator via the same method and inform the system administrator of the change that should be made so as the register and certificate can be altered.

  1. If the Manager does need to cancel the place on a course at the very last minute, they must contact the system administrator – the earlier the better! 

You will lose your booking fee but it will save you being invoiced for non-attendance.

Please note that if you do not turn up to a course you are booked to attend and do not notify us, you will be contacted, along with your manager, to find out the reason for non-attendance.

Please be advised that it is the responsibility of each delegate to sign the event register (for all events including clusters) to prove that they have attended.

*Failure to attend a course without notice will result in a £25 cancellation fee. 

A course will only run where there are a minimum number of delegates booked onto it.

In the event that a course is cancelled due to being under-subscribed, or due to events outside our control e.g. tutor illness or severe weather conditions, applicants will be contacted as soon as possible and notified of the cancellation.  Wherever possible, offered an alternative date to complete the training or refunded their booking fee.

*please note that this is always at Local Authority discretion and will be dependent on the nature of the non-attendance and sufficient evidence being presented
